Executive Assistant

  • Hourly Salary: £23.13 per hour (PAYE)
  • Location: NW London
  • Job Type: Full-time, Temporary (3-6 months with the possibility of permanent)
  • Working Days: Minimum 3 days in-office (Tuesday – Thursday)

Our housing association client is seeking an Executive Assistant to provide comprehensive support to multiple stakeholders at the Group Executive level. This role requires immediate start and offers a dynamic work environment with the potential to transition into a permanent position. The successful candidate will manage complex schedules, support high-level meetings, and ensure effective communication across the organisation.

Day-to-day of the role:

  • Diary & Schedule Management: Proactively manage complex, shifting diaries for multiple executives. Coordinate internal and external meetings, prioritising conflicting demands. Ensure executives are fully briefed with pre-reads, agendas, and briefing notes.
  • Meeting & Board Support: Attend senior leadership and Board meetings as required. Produce high-quality, accurate minutes, ensuring confidentiality and clarity. Maintain and track action logs, ensuring follow-up and reporting on progress/outcomes. Prepare agendas, circulate papers, and manage logistics for meetings.
  • Travel & Logistics: Arrange and manage domestic and international travel, including visas, accommodation, and itineraries. Anticipate and resolve scheduling conflicts or travel disruptions.
  • Executive Support & Communication: Act as the first point of contact for executive team members, handling sensitive information with discretion. Draft correspondence, reports, and presentations to a professional standard. Liaise effectively with stakeholders at all levels, internally and externally.
  • Project & Task Management: Support delivery of strategic and operational projects by monitoring deadlines, dependencies, and action outcomes. Manage confidential documents, board packs, and filing systems (digital and physical). Undertake research, data collation, and preparation of briefing materials for executives.
  • General Administration: Provide cross-coverage for other Executive Assistants when required. Ensure compliance with corporate policies and governance frameworks. Continuously improve administrative processes to enhance efficiency and effectiveness.

Required Skills & Qualifications:

  • Significant demonstrable experience supporting senior executives and Board-level members in a complex organisation.
  • Proven ability to take accurate, concise, and professional minutes in high-level meetings.
  • Strong diary management skills across multiple senior stakeholders.
  • Experience in maintaining action logs and tracking outcomes through to completion.
  • Excellent organisational and time-management skills, with the ability to manage conflicting priorities under pressure.
  • Exceptional written and verbal communication skills.
  • High level of discretion, integrity, and professionalism when dealing with confidential or sensitive information.
  • Advanced IT skills (MS Outlook, Word, Excel, PowerPoint; Teams/Zoom; document management systems).
  • Strong stakeholder management and relationship-building skills.
  • Demonstrable ability to work independently with initiative and sound judgment.
