Customer Service
Greet, assist, and direct candidates/new hires/visitors and the general public to the appropriate staff member
Issue of ID and access badges for new hires/vendors/visitors and maintaining a record.
Undertaking site inductions for new vendors on behalf of JLL
Receive, direct and relay telephone, email, and other queries
Book onsite meeting rooms and hospitality as per client requests
Liaise with site managing agent and site security.
Site Operations
Conduct daily meeting room and office check
Ensure meeting rooms are prepared and provide a hospitality service.
Manage / sort the post.
Manage the Facilities Helpdesk Platform and liaise with local service providers
Handle/Assist with incoming and outgoing mail enquiries
Assist in coordinating the repair and maintenance of office equipment and in the ordering of office supplies.
Track and chase outstanding maintenance issues.
Assist with the organising of vendor meetings, vendor performance reviews and Quarterly Business Reviews.
Assist the IFM Operations Lead in developing a close working relationship with all of the vendors under JLL’s control to ensure that they fully understand the client culture and are made to feel part of the team.
Responsible for initiating and closing purchase orders.
Maintains purchase order file for invoice back-up in anticipation of receipt of invoices for accounts payable processing and liaise with Nielsen’s finance team.
Develop/update seating charts, organizational charts, Google documents presentations to support the IFM Operations Lead.
Understand how the building services affect the way the client operates.
Ensure accurate and detailed hand over is planned in the event of authorised absence.
Health, Safety, Environment & Quality
Undertake monthly EHS site inspections and report all accidents and Incidents to the JLL EHS Manager.
Complete necessary monthly reports
Understand & actively support JLL’s Quality Management program.
