GDA Apprentice Business Administration, SEND Outreach Services – work, earn and learn
The SEND Outreach Admin Team in the Directorate of Children Services provides essential administrative support across four key services: STEPS, Sensory Service, Early Years Inclusion Team, and ASD Outreach Team.
We are seeking an adaptable and motivated individual who is eager to develop their skills in office administration. The successful applicant will be flexible in their approach, able to multitask, prioritise duties effectively, and deliver high-quality support to the SEND Outreach services.
Professional Duties:
Responsible for a variety of basic administrative tasks, including those required for acquiring the formal qualification, with support from the line manager and the wider Administrative and Leadership Teams within SEND Outreach Services.
Follow instructions and collaborate with colleagues while managing time efficiently to meet the team’s needs.
Communicate professionally with parents, students, schools, and other professionals, ensuring clear and respectful interaction at all times.
Handle incoming calls to the service/team, logging key details, resolving basic queries, and redirecting more complex calls to appropriate team members.
Provide accurate advice and information regarding SEND Outreach Services via phone, email, or in person.
Carry out general administrative duties such as filing, photocopying, scanning, and processing the post.
Manage data entry and maintain accurate records in relevant systems.
Use office software including Word and Excel, ensuring proficiency following induction and training.
Team-Specific Tasks:
Under direct supervision, work towards responsibilities aligned with the role of an Administrative Assistant, with tasks including:
Processing new referrals to SEND Outreach Services.
Archiving and filing office documents and children’s records.
Updating the SEND Service pupil databases.
Processing orders and conducting basic statistical research across SEND Outreach Services.
Personal Development:
To undertake a varied programme of work experience, practical and theoretical training leading to a recognised apprenticeship qualification Business Administration Level 3 as part of an apprenticeship programme.
To actively participate in their own development plan, which will be agreed with the line manager and the assessor from the training provider. To undertake the requirements of the academic element of the apprenticeship (e.g. attendance at college and completion of academic work). A minimum of 20% of working week will be allocated to this.
