Role Overview
This is a high-profile role that would primarily involve working closely with other team members to receive tender opportunities that come in daily through multiple portals and distribute them to the appropriate teams and offices. Additional tasks include circulation of tender clarifications and subsequent uploading of completed tender submissions as well as offering support to the wider team.
The role will involve coordination and management of the portals as well as the team inbox to ensure all opportunities of relevant to Savills are monitored and managed effectively. Whilst previous experience in this role is not essential, effective written communication skills are crucial, as well as the ability to work methodically and to deadlines. As one of the fastest growing sectors in the business, we support the whole of the UK from our HQ in London. We are a friendly team, currently led by a Director with seven others. Our role is to support and help build business through managing Tenders and Frameworks as well initiatives to raise Savills’ external profile.
Management of c.500 procurement portal accounts, including new and additional registrations when needed;c.135 offices
Full management of procurement operations (RFI, RFQ, ITT and clarifications) across numerous portals
Procurement communications engaging Finance, GDPR/IT, Health and Safety, Sustainability and Legal when required.
Contract negotiation support
Providing admin support to all members of the team where required
Diary management, including scheduling internal and external meetings.
Positive collaboration with internal and stakeholders
Updating and/or formatting schedules, spreadsheets, presentations, marketing and sales reports, pitches.
Process expense claims
Liasing with other teams support to share best practice
Maintain a high level of professionalism when dealing with clients, applicants and colleagues
Provide ad hoc support to the bidding teams where required
